Suggested guidelines for Association members requesting policy exceptions or Board action regarding a concern or grievance:

  • Clearly state the concern/grievance/policy exception.

  • How urgent is the request? In your opinion, can it wait till the Board's next monthly meeting or is this an urgent matter that needs to be resolved as soon as possible. Note: The Chairman makes the final decision as to how soon the request will be handled.

  • For concerns or grievances, sequence the steps you have taken regarding the channels of communication. Give a concise, detailed description of each. However, rather than providing the whole dialogue, state the conflict. What did you want from the conference? What was the reason given for not being able to resolve the situation at each level (teacher, principal, superintendent)?

  • For policy exceptions, describe why you believe the policy is inappropriate or not applicable in this situation.

  • Clearly state the action(s) you would like to see taken.

  • Keeping your experience in mind, please include other constructive measures you feel could be implemented to improve the system.

  • A word of advice: writing in an unemotional, factual manner is best.

  • Submit your letter to the Chairman of the Board.

Please be assured that the Board will respond professionally and in a timely manner.
